Please Note : All hotel reservations are Contracts.
All reservations must be guaranteed to a major credit card or debit card (American Express, Visa, MasterCard or Switch/Maestro) at the time of reservation. Pre-payment is required at time of reservation for all on-line reservations and also one month prior to arrival for peak periods for all other reservations. Debit cards (Maestro/Electron/Delta) are preferred methods of payment. American Express charge a processing fee of 3.5% and Visa/Mastercard 1.5%. Account invoices must be settled within 30 days.
The Hotel has a two night minimum stay policy for all Rugby weekends and most reservations which include a Saturday night (subject to demand). We also operate a 3 night minimum stay over New Year.
Cancellation Policy
Cancellations for a guaranteed reservation must be received at least seven days prior to the arrival date ("the Required Date"). If cancellation of a guaranteed reservation is not received by the Required Date Melvin House Hotel will endeavour to resell the accommodation and refund the net proceeds (deducting any costs incurred). If a booking is cancelled after 2pm 48hrs before the booking is due to commence then Melvin House Hotel may charge 100% cancellation fee of the total amount due. We strongly advise that guests purchase travel insurance.
Rates displayed are ‘per room’ and include full Scottish breakfast (unless stated otherwise) and Value-added tax at the current rate. We regret that no reduction can be offered for breakfast not taken. There is no obligatory service charge and we ask that gratuities only be offered directly to staff where highest standards of service have been shown.
Smoking Policy
In accordance with Scottish Law it is prohibited to smoke or permit smoking in the Hotel. Anyone who has been smoking in the Bedroom areas may be charged £100 as an additional cleaning charge and/ or loss of room income.

Times of Arrival and Departure
Check-in time is from 2pm to 11pm and departure time is 11am.
Early Arrivals and Late Departures
If your arrival is early in the day and you prefer immediate access to your room before [2pm], we recommend reserving for the prior night to guarantee immediate access. Similarly, for late departures, reserving an additional night will guarantee access until you leave the hotel. If you choose not to reserve, you may leave your luggage (at your own risk)
Pets – by arrangement only. Pets should not be left unattended in the bedrooms.
Disabled Access : Melvin House Front Door is on a level 8 steps up from pavement level. Our Passenger lift is for 2 persons maximum and is suitable for small travel wheelchairs only. Guests with special access requirements should contact us. We will endeavour to offer every assistance.
Complaints and Disputes
We trust that you will enjoy your stay with us however if you wish to complain or comment, please do so firstly at Reception at the earliest opportunity and allow us to rectify any problem. After departure , you should address any cause for complaint in writing to The Directors at the address opposite.
Should we be unable to fulfil our commitment to providing the accommodation reserved – we will offer alternative arrangements at the same standard or higher at our expense or alternatively a full refund.
Reservations made via a 3rd party (eg on line Travel Agent) will be governed by your contract agreement with them however our own policies apply once resident at Melvin House Hotel.
Melvin Estates Limited reserves the right to require you to leave if you are causing disturbance or annoyance to other guests or staff, using unacceptable language or if you are otherwise behaving in an unacceptable manner.
Losses and Liabilities
You will be liable for any loss, damage or personal injury that you may cause at the hotel and to hotel property. Melvin estates Limited reserves the right to charge your debit or credit card (before or after your departure) for the full cost of repair or replacement of any damaged property.
Melvin Estates Limited also reserves the right to charge your debit or credit card for any extras that remain unpaid at departure time. Extras may include, without limitation, telephone charges, alcoholic beverages and laundry charges.
